my 2 cents. i say include measuring chart and guidelines from company and write a full disclaimer and make them sign (coaches and parents) that they measured and agree to this size. note that you aren't ordering extras to be able to swap. make sure they know they are to wear it at the meet. some parents may be upsizing if their kids have a ton of leos and they don't know its for the meet. also remind parents brand sizing runs differently, but i would make them read, sign, and write down the size with an acknowledgment of this. honestly, you have to be this way in this day and time.
I think we'll need to do this in the future. I emailed parents (letting them know girls would wear the leo for the meet) with sizing charts and asked them to get back to me. I offered a sample leo to try on for reference. I provided a paper at the gym for them to put sizes on or gave them the option of just emailing me. I tasked a parent who stays for practice with getting sizes from parents. I sent a reminder email. Despite my best efforts, there were still parents who did not respond or responded with a weird size.
I think next year we will maybe schedule our parents meeting a bit later so we can get all the necessary info from them while we have a captive audience. And having them sign is a good idea!
 
My daughter's gym goes to one of these meets. Our gym keeps the girls' GK practice leo size on file and submits all meet entries with this size, no matter what brand the meet leo is. If there are sizing issues, the plan is to swap sizes within the team as much as possible. The girls are also bringing their competition leos for backup. The big issue is liner leos and undergarments--those who wear them normally wear a different color than is required for the special meet leos, so they all had to go out and buy new ones just to wear once.

One of the forms we fill out in our team packet has the sizing for team leotards… there is a size chart for our brand and the parents are supposed to circle where their DD fits for each measurement and then there is a line to write the size they are ordering.
Sometimes, if the parent asks, HC will measure the girl… OR they will just have them try on "sizers" aka team leotards from last year from the same brand. We also try to "size" them for other major brands based off the measurements and they are all entered into an Excel spreadsheet. It can come in handy.
 
Our gym will be attending a meet like this soon. Several of us are worried because the last meet that provided leos gave a lot of girls ones that were two sizes too big, even though a list had been provided. Luckily, those weren't for wearing in the competition. I know my gymnast can handle one that is a little too small, but what do I do to prepare her if it's too big? You can't ever wear shorts in a meet, right?
 
We've done this once, during my DD's L3 season. It was a pink meet. DD was L3 two years ago. The leo fits NOW. So yes, it was a bit baggy on meet day, but for the three hours we were there it was fine. We have gotten leos from other meets as gifts and it's my favorite meet gift.

We do have a scratch, but I'm not sure if we'll get her leo or not- we might have scratched her before the deadline and get a refund instead. Having an extra would be nice.
I love leos as meet gifts solely because they get my girls to actually wear leos to practice! Apparently matching their teammates is the best incentive.
 
My DD and 2 teammates were handed child large Leo's this weekend, luckily it was not a hassle to exchange them (they are 16/17 years old and 5'1-5'4", lol).

I love leos as meet gifts solely because they get my girls to actually wear leos to practice! Apparently matching their teammates is the best incentive.

This is a huge thing with my daughter and her teammates. Even if they don't have matching leos, they coordinate colors and shorts (here it's very "in" to wear leos and 'booty' shorts to practice).

We have a information form that we have copied on the back of our uSAG form as a side 2. When they renew USAG they must update all sizing information for shorts, leo's t-shirts, hoodies etc. if I see a size doesnt quite work for a child Inwill contact parent for verification. I have upon occasion changed a couple of sizes and informed the parents of what transpired. I don't do that often. I am familiar with brands. I explain its better to be a size too big then too small. At least they can grow into it.
 
I wasn't sure how to title this, and hopefully I'm worrying about something that won't turn out to be an issue, but I'm curious about meets that have a giveaway leo that they have all the girls wear for the meet itself.
We are heading to one in a few weeks and I'm wondering, has anyone run into a situation where the leo does not fit a kid? I tried to get size info from parents, but I had a few parents who didn't reply and a few who gave me sizes that seemed a little off for their kid, but I supplied them with size charts, so figured they knew what they were talking about. The leos are also from a brand (pretty major one) that our kids don't typically wear. And while I had one in my prize leo pile which I offered as a sizing sample, none of the parents took me up on it.
If we have a kid with a too small leo, do we just have them suck it up, squeeze them in, and compete in it?

The little girls made out fine- a few slightly too big, but nothing terrible. All kids were happy and have worn the leos to practice since and they look really nice. Which is good because there were no spares and no chance of exchanging.
I heard that the older girls had a disastrous time and a bunch ended up competing in other leos- they were too small and very see through. I think it probably would have been nice for the gym to give a heads up that the leos were a lighter color and suggest girls bring skin-colored underwear, because I think improper undergarments was part of the problem. So I suppose the moral to the story is always make sure your kids bring a spare if they attend a meet that provides the leo just in case.

Glad it worked out for your girls.

A couple thoughts:

1) skin colored undergarments should be the assumption anyways
2) Always bring an extra leotard. Something could go wrong e en with your regular competition leotard

Really? Our girls were tan camis but no underwear during competition.

I told all girls to bring a spare leo, this was just a good reminder of why.
As far as undergarments, most of our older girls don't wear leos to practice, so I can imagine that proper undergarments for under leos is not even a thought for them most of the time, and I highly doubt their coach (male) offered reminders before the meet. So this was probably a good moment of realization for them. Hopefully they are better prepared in the future.
 
I eve received Leo's at meets by never worn them at the meet, though the meets have encouraged teams to wear them to compete
