I'm in WA. We at any point can request a meeting with the coach or the owner of the gymnasium, if we feel we have questions or want updates on how the kids are going. They also bring home their folders with their skills and progression stickers etc. Once a year the owner holds a meeting for the team and it's basically a Q&A session to inform us of what's to come and give us the chance to enquire.
Your gym should be in communication with you especially around comp time.
 
We can request a meeting with the coach too, but actually organising it and making it happen is much harder. At the moment the coaching staff are so short-staffed most of us are loathe to ask for anything like this. We appreciate the stress they're under, despite our desire for more information specifically relating to our daughters progress.
